Digital Preservation Policy

Archiving Policy

Jurnal Teknologi dan Sistem Tertanam (JTST) is committed to preserving its published scholarly content and metadata to ensure long-term availability, accessibility, authenticity, integrity, and continuity of the scientific record.

Availability
Published content remains accessible to readers over time.
Integrity
Archived files and metadata are protected from unauthorized alteration.
Continuity
Journal content is preserved during technical, organizational, or platform changes.

1. Purpose

This policy describes the measures implemented by JTST to preserve published articles, supplementary materials, publication metadata, editorial notices, and other components of the scholarly record.

Digital preservation is intended to protect journal content from data loss, file corruption, server failure, cyber incidents, platform migration, organizational change, technological obsolescence, and other risks that may affect long-term access.

2. Content Covered by This Policy

The preservation program covers, where available:

  • Full-text files of published articles;
  • Article titles, abstracts, keywords, and references;
  • Author names, affiliations, and contributor information;
  • Volume, issue, page, and publication date information;
  • Digital Object Identifiers and other persistent identifiers;
  • Figures, tables, datasets, and supplementary materials;
  • Licensing and copyright information;
  • Corrections, errata, expressions of concern, and retraction notices;
  • Journal policies and publication history; and
  • Relevant editorial and administrative records that must be retained.

3. Digital Preservation Methods

JTST applies a layered preservation approach to reduce dependence on a single system or storage location.

Preservation Method Description
OJS Platform Published articles, issue information, metadata, and editorial notices are stored and managed through the Open Journal Systems platform.
Institutional Server The journal website and publication files are maintained through the institutional information technology infrastructure of Universitas Teknokrat Indonesia.
Institutional Backups The journal database, uploaded files, system configuration, and related publication data are included in regular institutional backup procedures.
DOI and Metadata Registration Article identifiers and bibliographic metadata are registered with Crossref to support persistent identification and discoverability.
Indexing and Repositories Bibliographic information may be distributed to indexing databases, academic search engines, repositories, and library systems. These services improve discoverability but do not replace the journal's primary preservation system.
Author Self-Archiving Authors may archive permitted versions of their articles in institutional repositories, personal academic websites, or other non-commercial repositories in accordance with the journal's copyright and licensing policy.

4. External Distributed Preservation

JTST supports the use of recognized distributed preservation services, such as the Public Knowledge Project Preservation Network (PKP PN), LOCKSS, or CLOCKSS, subject to the journal's technical eligibility, formal activation, and successful deposit verification.

JTST will identify an external preservation service as active only after the relevant system or plugin has been enabled and the successful deposit of journal content has been verified.

The editorial management and technical teams are responsible for periodically monitoring the status of external deposits and resolving any technical errors that may prevent content preservation.

5. Backup and Recovery

JTST coordinates with the institutional information technology unit to maintain backup and recovery procedures for the journal platform and publication files.

Backup procedures cover, where applicable:

  • The OJS database;
  • Published article files and supplementary materials;
  • Journal and article metadata;
  • Website configuration and journal settings;
  • User and editorial workflow information;
  • Journal policies and static pages; and
  • Relevant system logs and administrative documentation.

Backup copies should be stored securely and, where possible, separated logically or physically from the primary journal server. Access to backup systems is limited to authorized technical personnel.

6. File Integrity and Security

JTST takes reasonable measures to protect archived files and metadata from unauthorized access, deletion, alteration, corruption, and loss.

Preservation and security measures may include:

  • Access controls and authorized user roles;
  • Strong account and password management;
  • Regular platform, plugin, and server maintenance;
  • Monitoring for technical errors and security incidents;
  • Verification of backup completeness and recoverability; and
  • Controlled procedures for replacing or updating published files.

7. File Formats and Technology Migration

JTST uses widely recognized and accessible digital file formats, including PDF for article full texts and standard metadata formats supported by OJS and scholarly indexing services.

When a file format, platform, or storage technology becomes obsolete or unsupported, JTST may migrate the content to a newer format or system. The journal will seek to preserve the accuracy, completeness, readability, and bibliographic identity of the original publication during migration.

8. Persistent Identifiers and Metadata

Published articles are assigned a Digital Object Identifier (DOI) whenever applicable. The DOI supports persistent identification and should continue to direct readers to the appropriate article landing page, even when the journal platform or website address changes.

Preserved metadata should include:

  • Article title and abstract;
  • Author names, affiliations, and identifiers;
  • Journal title, volume, issue, year, and pages;
  • DOI and publication URL;
  • Keywords and references;
  • Copyright and licensing information; and
  • Publication status, including corrections or retractions.

When metadata is corrected, JTST will update the journal platform and relevant registration or indexing services whenever technically possible.

9. Preservation of Corrections and Retractions

Articles that have been corrected or retracted remain part of the permanent scholarly record. They will not be silently deleted from the journal archive.

  • A corrected article will be linked to its correction notice;
  • A retracted article will be clearly identified as retracted;
  • The retraction notice and bibliographic record will remain publicly accessible;
  • The original DOI will be retained; and
  • Relevant metadata will be updated to reflect the article's current publication status.

Complete removal of an article is limited to exceptional legal, privacy, security, or public-safety circumstances. A public bibliographic record and explanation will be retained whenever legally possible.

10. Author Self-Archiving

Authors may deposit permitted versions of their articles in institutional repositories, subject repositories, personal academic websites, or other non-commercial archives.

Self-archived copies should:

  • Provide complete citation information;
  • Include the DOI and a link to the official article page;
  • Preserve the copyright and licensing statement;
  • Clearly identify the deposited version; and
  • Not misrepresent a manuscript version as the final published version.

11. Platform Migration and Journal Continuity

If JTST changes its journal platform, server, domain, managing unit, or publisher, reasonable steps will be taken to preserve and transfer all publication files, metadata, DOI links, journal policies, editorial notices, and issue archives.

If the journal ceases publication, the publisher will seek to maintain access to the existing archive through the journal website, institutional infrastructure, an external preservation service, or another appropriate archival arrangement.

12. Responsibilities

Responsible Party Responsibilities
Publisher Supports institutional infrastructure, continuity, technical resources, and long-term preservation planning.
Editorial Team Ensures that published files, metadata, corrections, and retraction notices are complete, accurate, and properly linked.
Technical Team Maintains the platform, server security, backup procedures, recovery processes, and technical migration.
Authors Preserve their original research materials and may retain permitted copies of published articles in appropriate repositories.

13. Policy Review

This Archiving Policy will be reviewed periodically and updated when there are changes in the journal platform, preservation technology, institutional infrastructure, legal requirements, or recognized scholarly publishing standards.
